About the role:

In this role, you will be the backbone of our thirty strong Fleet Engineering team, providing essential administrative and logistical support to ensure all projects and team activities run seamlessly. Working closely with our Head of Fleet you will help to increase the team’s effectiveness and efficiency by dealing with administrative tasks on behalf of the team to ensure that everyone can make the most effective use of their time.

You will also play a key role in maintaining a positive and productive work environment by addressing team needs and facilitating effective communication. The role will also work closely with our Derby based facilities team to provide effective cover when necessary, ensuring a suitable working environment for our Derby based staff.

Key Responsibilities:

  • Organising the diary of the Head of Fleet in a professional and efficient. Booking travel as appropriate.
  • Organising complex meetings on behalf of the fleet team. This may include diary scheduling, venue organising and itinerary creation as appropriate.
  • Acting as a gatekeeper for the Head of Fleet, handling all phone, email or in-person queries appropriately.
  • Handling all expenses for the Head of Fleet and purchase orders for the wider team.
  • Preparing document packs, presentations and board reports for the Fleet team.
  • Taking minutes during major meetings and ensuring follow up actions are distributed.

Qualifications & Experience:

  • Proven experience in a team administrative/support position.
  • Experience dealing with stakeholders at the senior management level.
  • Excellent communication skills, attention to detail and ability to prioritise multiple incoming tasks.
  • Excellent core IT skills, especially with Microsoft Office applications and Outlook.
